Selling & invoicing

Holding a stand, selling it, and getting an invoice out — without the floor plan and the finance system disagreeing about what has been sold.

Who wants it: Sales, who hold stands in their head and in a spreadsheet, and finance, who find out later.

What it does

  • Available, on hold, sold — the status already on every stand, made to mean something.
  • Sales place a hold from the plan, with an expiry and a note.
  • An enquiry form on an available stand on the public map, landing in an ops queue.
  • On sale, a draft invoice appears in Xero with the stand as a line item. Finance sends it exactly as they do today.
  • Xero tells the plan when it has been paid, and the stand turns sold on its own.

Then

  • Holds that expire and release the stand, with a warning first.
  • A rate card by stand type: price per stand and per square metre.
  • Extras and sponsorship as invoice lines.
  • Sold square metres, average rate, and yield by part of the hall.

What it is waiting on

This will not be a screen of its own. Money belongs to Xero, and the app’s job is to draft an invoice and reflect its status — so holding and selling happen on the stand, and invoicing happens inside the exhibitor portal. A separate payments screen would be a second place for the truth to live.
